About This Position

Our practice continues to grow, and we are actively seeking an Executive Assistant to join our team. In this role you support our Partners, C suite executives, and provide overall office support. You will have the opportunity to gain exposure across multiple studios and office disciplines. Our successful candidate will be well organized, have exceptional time management skills, and anticipate needs. As our Executive Assistant you will contribute to our firm's overall efficiency by providing personalized and timely support.

Responsibilities include:


Partner/Executive support

  • Heavy email and calendar management (responding, tracking, follow-up with emails, coordinating internal and external meetings, and appointments.)
  • Proofread proposals, letters, and other correspondence
  • Manage contracts
  • Liaison to Project teams and accounting; tracking what has been invoiced/billed, what has been paid out, reconciling Partner’s daily expenses and timecards.
  • Committee Co-Chair Assistance; Event Prep, creating presentations (visual and written), agendas, meeting notes, surveys/polls, and follow-up.
  • Set up Virtual Calls via zoom and Microsoft Teams in conference rooms and troubleshoot technical issues with connections.
  • Coordinate travel and hotel accommodations
  • Research projects as needed; creating best practices for external meet and greets, tailoring presentations based on project type, sectors, audience, etc.

Firm Operations/administrative support

  • Screen and direct phone calls and distribute correspondence
  • Support all firm initiatives and goals related to employee retention
  • Set up meetings/lunches in conference rooms and clearing any items post meeting
  • Overall administrative and office support
  • Maintain office supply inventory

Qualifications/Personal attributes

  • Strong attention to detail and accuracy, particularly when under tight deadlines
  • Technically savvy; Strong working knowledge of Microsoft office suite, adobe suite, database management systems, and desire to learn new and AI applications
  • Excellent communications skills and commitment to the quality of your work
  • Proactive with the ability to anticipate needs, take the initiative to assist others, jumps in where needed
  • Excellent time and project management skills, able to manage multiple projects, and deadlines, reaching out for assistance when needed
  • Relationship and people focused; Develop strong and effective internal and external relationships, able to work with different and contribute to the overall success of the firm
  • Sound judgment, highly professional and diplomatic- manage diverse personalities and workstyles within all levels of the firm; perceptive and practical and knows when to ask for help or advice
  • Discretion and confidentiality are an absolute necessity- handling highly sensitive information must exercise professionalism and always maintain privacy
  • Flexible/adaptability; must be able to perform successfully in a fast-paced environment; does not get frustrated by shifting and changing priorities open to feedback and change
  • Strong intellectual curiosity, a creative thinker and problem solver; can step out of daily tasks to see bigger picture
  • Self-motivated, with a "can-do" attitude and entrepreneurial spirit; desire to take on increasing level of responsibility
  • Availability/flexibility to maintain a full-time schedule in the office
